1. Membership of 2009 Annual Conference WG - deadline is 9/8

Richard - Dina Kaye (UW-Parkside) has volunteered as CRS rep.

Steve (not on call) - USCC rep not yet identified

Appointment of local arrangements person from UW-Madison will be deferred until Steve’s report on this year’s conference is available. Steve’s input is important as he handled most local arrangements this year.

2. CC Chairs’ Annual Reports for 07/08 – deadline 9/8

Jean said that reports can be brief, summarizing overall committee accomplishments in relation to the strategic plan and action items. The completed quarterly CC reports, which are more detailed, will remain on the CUWL website, along with each CC’s brief annual report. As past CUWL chair, Jean will draft a brief CUWL annual report for 07/08 for CUWL members and for UW System, esp. Rebecca Martin.

3. 2008 Annual Conference Report

Steve will submit his report on the June meeting very soon.

5. Updates from CC Chairs

CRS (Richard) -- Shelving survey results almost completed – will be distributed to CUWL .Charge for Doc Del Working Group has been revised and approved. Library Dynamics - question about training opportunities has been referred to the Working Group and also will be discussed at the fall CDC meeting. Terry Wilcox, state ILL librarian and member of the state Delivery Services Advisory Committee, has asked UW libraries to revise the UB call slip to bring into conformity with the committee's recommendations. Followup with Terry Wilcos is planned. CC has reviewed the content found on the CUWL website and the wiki and is not concerned about the small amount of duplication between them.

DICC (Josh) - Conference call being scheduled before Nov. CUWL meeting.

USCC (Valerie for Steve) - there is a conference call this Friday

6. Other items –

There will be advocacy training for CUWL directors to assist them in efforts to gain support for the UW System budget request. Training will be in Madison in October. No date yet.

Plans for fall CUWL meeting in Green Lake are underway. Keynote plenary will be on the Digital Marketplace product. CIOs do not want to have a presentation on RIAA issue. It’s still unclear whether the LTDC group will be at the meeting. Ewa will ask CC chairs to submit agenda items for the meeting within the next two weeks. Pat said that Kathy Schneider will want to report to CUWL after attending the meeting with OCLC on October 9.

Valerie said that WAAL is offering a scholarship to a young librarian to attend WLA. She encouraged us to identify potential candidates.

Status:

9/15/08: Upgrades went well for everyone--more like a patch than a regular upgrade. We did not do the Oracle 10 upgrade at this time due to a lack of documentation from Ex Libris. That will be done next summer. The LTCC discussed at the August conference call whether we might turn on UB one-by-one as schools upgrade. Although some staff did not like UB down for so long, most LTCC members felt it was easier to administer and less confusing for patrons if we kept UB off until the last school was finished with the upgrade. The timing of the upgrade also meant that the impact was minimal on patrons. Even interlibrary loan was not very busy in late July-early August even though people were directed to submit ILL requests when UB was down. So unless we hear from more staff that this was a problem, we will recommend that we keep the same workflow for the next upgrade.

8/13/08: upgrades are going smoothly and completing faster than expected. Campuses should turn on UB on Monday, the 18th, in order to give Madison time to finish all their processing.

7/18/08: From Brian Wilson today: "Brian Stratman at Exlibris verified for me that the Webvoyage Renewals bug patch was rolled in with the Google Books patch that just came out and is part of what I'm going to be installing."

7/17/08: From Linda Voyles today: "the patch for the renewal bug 16384-1905 was being tested with a customer yesterday and we expect to release it later today."

7/9/08: This message is from VOYAGER-L, dated July 3: The WebVoyage Renewal bug (Issue 16384-1905) has been corrected and is
in the final phases of testing. We should be announcing its release by the end of next week. A message will be sent out when the package is
available for download.

6/30/08: Forgot to mention this about Oracle--at the LAMs meeting during the conference on June 4, Brian said Madison is planning to do the Oracle 10 upgrade this summer. If Stevens Point or Eau Claire want to do the same, they can after confirming it won't affect UB. Brian will ask. Other hub libraries will wait and determine when to upgrade based on Madison's experience.

6/25/08: Lisa heard from Ex Libris that the fix will be ready by July 2. She will monitor until we know for sure it has been resolved.

6/24/2008: All sites have confirmed the upgrade dates. Will the renewal bug delay our upgrades? Lisa will contact Ex Libris to emphasize the importance to us of fixing this bug before our upgrades. We do expect the fix will be in place before or shortly after our upgrades because this affects all Voyager customers. We don't expect it to be a critical issue for us until the first week of classes (when reserve checkouts would be affected). It will be a non-issue for the term loans, but the 28-day and shorter loan items will be affected.

See the attachments at the bottom of this page for the Voyager Hub Upgrade Checklist. This has been updated, but let me know if you have any additions/changes (email me at brunstim@uwgb.edu or use the Threads at the bottom of this page).

We will send a reminder on the UB mailing list to turn off UB one week before Stout upgrades and one week before the rest of the campuses upgrade.

Once the upgrades begin, check the wiki page, Voyager Hub Upgrade Progress Page, for updates from Brian.

6/9/08: Lisa sent out the confirmed schedule.

5/30/08: spoke to Lisa yesterday--she is waiting to hear from Brian to schedule a date for the Colleges.

5/21/08: Lisa is setting up specific upgrade dates for the campuses and will communicate this with the LAMs. Stout will upgrade early due to their textbooks program. Stout will be removed from UB 1 week prior to their upgrade date in order to finish requests in the pipeline. UB will remain up for the rest of the campuses until 1 week before the next scheduled upgrade (as yet to be determined). It will be turned back on after the last upgrade is completed. We will NOT upgrade Oracle at this time due to a lack of documentation from Ex Libris.

4/29/08: Bill Doering (La Crosse), chair of the Hub and LAMs groups, is coordinating this with Lisa. We decided to upgrade to 6.5.4 due to the late release date of Voyager 7. We also plan to upgrade Oracle this summer so that we don’t have that to deal with at the same time as the Voyager 7 upgrade, which will be more time-consuming for some staff due to the new OPAC interface. Upgrade dates will probably run mid-July to mid-August. Linda Voyles is checking on dates for all of the campuses. Madison and the hub will do their own upgrades, but need an Ex Libris engineer available. Eau Claire and Stevens Point, who have not joined the hub yet, will need Ex Libris to perform their upgrades.

New OPAC / Resource Discovery

9/15/08: The LTCC meets in Madison on Sep 29 and will discuss the task force report and how we will proceed with this goal.

1/23/08: we will wait to see the report from the Madison task force and make plans after that is released. In the meantime, we are reading articles on this topic.

Voyager invoicing/licensing

Action item: Review Voyager invoicing and licenses to determine if there would be significant savings by renegotiating the contract.

Status:
9/15/08: The highwater mark numbers, although not as accurate as Anne Schilling's script, will likely be in our favor. Brian has a batch of data for the hub, La Crosse and Milwaukee and will send it to Ex Libris.

5/21/08: Due to the complexity of the issue, there will be a conference call with Dave Dempsey from Ex Libris. Anne Schilling, Mitch Lundquist, Brian Wilson, Lisa Jewell and Marlys Brunsting will also be on the call. Lisa will be setting up the call.

4/29/08: Lisa Jewell heard from Linda Voyles about what data is needed to review our licenses, but the information conflicted with what we had sent previously. Mitch Lundquist (Madison) emailed Linda for clarification and Linda is now checking with the accounting and support teams to see if the information collected from Madison’s script is sufficient.

1/23/08: The number of OPAC sessions can't be split out for hub members (except La Crosse and Milwaukee, who are in separate zones). Madison has developed a script that can take a snapshot of the number of OPAC, acquisitions, and circulations sessions open at a given time. Paul contacted Linda Voyles at Ex Libris to see if this information, run for all campuses, would be sufficient to track usage information over time.

D2L/Library Integration

9/15/08: Pat Fellows is still interested, but still struggling to catch up with her own work. The LTCC will discuss other options.

4/29/08: Due to Marc Boucher’s departure, Marlys is working with Pat Fellows on this goal. She presented on this topic with Marc and Mark Robson at EDUCAUSE in March and their session was very well received. She was to have presented a condensed version at the ITMC conference, but was unable to attend. She has indicated that she will begin working to coordinate this with interested campuses this summer. She is on leave now and also short-staffed, but hopes to have some help in June. Her plan is to train the SIS people in one session and librarians in another session. She believes it is not something that DoIT can assist with.

1/23/08: Six campuses are interested in the Colleges model if there is support from DoIT; three campuses might be interested but need more information; two campuses are not interested; one campus did not specify. Milwaukee is in the process of purchasing Libguides which would fill this need. Mark Boucher and Mark Robson (UW-Washington County-the programmer for the College model) will meet with DoIT staff to discuss the feasibility of setting this up and maintaining it for the campuses that are interested.

ACTION ITEM: Renee Buker is next minute taker for our July 21st meeting.

2. Committee charge:
We all approved the draft on the Wiki-
The Distance Library Services Standing Committee is charged with staying abreast of distance services across the UW System and internationally. The group’s main focus will be on discussions surrounding distance issues around the system, along with any distance services issues that may arise from time-to-time.

3. Key Expectations:
Group decided that we will make the Key Expectations broader issues. We also agreed that an information chart including commonly asked questions, policies, etc. needs to be created.

ACTION ITEM: Kyle and Heather will work on Key Issues and Leigh will work on questions for chart.

4. Anything else we want to add to our page?
Minutes will be posted to our page.

5. Report on Distance Services at each campus:
We have all been compiling reports when asked. In lieu of reports this year, the group has been asked to review the distance policy at http://uwlib.uwsa.edu/documents/distance/distancelearning_policy.htm.

6. Other Issues:
When members attend conferences that may be of interest to the rest of us, we will begin getting them on the agenda.

UW System Policy on Library Support for Distance Learning

CHARGE:

Justification: In 1999, the Council of University of Wisconsin Libraries (CUWL) adopted the UW System Policy on Library Support for Distance Learning. This system-wide policy has been revised three times, most recently in 2005. The purpose of this standing committee is to discuss the system-wide issues concerning distance library services and to troubleshoot problems as they arise.

Specific Charge:
The Distance Library Services Standing Committee is charged with staying abreast of distance services across the UW System and internationally. The group’s main focus will be on discussions surrounding distance issues around the system, along with any distance services issues that may arise from time-to-time.

Key Expectations:

Investigate the coordination of services for course/degree programs involving multiple campuses.
Share ideas and tactics regarding outreach to DE students/faculty and the marketing of library services.
Address information literacy for DE and explore methods in which to inform users (packets, tutorials, live sessions via internet/phone).
Investigate new delivery options across the state.
Discuss the difficulty of gathering statistics about DE students, faculty, courses and programs and examine solutions to more uniformly report data for comparison system-wide.
Develop a ‘DE Map’ for the purpose of sharing information about each campus in terms of their services and policies pertaining to distance education.
Revise the CUWL Policy on Library Support for Distance Learning.

CUWL Distance Library Services Standing Committee
Minutes, 7/21/08

Present: Renee Sikma, Stefan Smith, Renee Buker, Heather Weltin, Leigh Dorsey, Jana Reeg-Steidinger, and Kristen Lindquist (representing UW-Superior)

Call to order: 11:05 am

Agenda

1. Review/revise/approve draft list of Key Expectations, compiled by Heather and Kyle (posted on our Wiki page).

The group approved the list of key expectations as posted on the wiki. No specific action items will be created based on the list; notes will be posted on the wiki to indicate which key expectations the committee is currently addressing.

2. Suggestions for a "DE Map" as listed in Heather and Kyle's list.

Leigh has started the DE Map by compiling a list of all campuses’ distance education library service pages (posted to the wiki). She asked for suggestions of other information that would be helpful to gather from each campus. Some suggestions from the group included:

Forms of ID accepted when checking out library materials
Availability and location of public access computers in the library
Compilation of joint programs within UW System
What is used for login information (Voyager, proxy server, etc)?
Options available for distance students making interlibrary loan requests
Who qualifies as DE on each campus?
How do distance students return books delivered to them (postage prepaid, return to local UW, mail back w/o postage prepaid, etc)?

Stefan suggested that the committee may want to make some of this information public for DE students to use. A public version would likely be posted somewhere other than the CUWL wiki – perhaps CUWL could host a site for this use. Leigh and Heather will explore options for hosting a public segment of the DE Map.

3. Discussion--How do you promote Library DE Services to faculty and students--what are you doing to gear up for the start of the school year?

Each campus represented at the meeting reported on methods they use to promote the library’s DE services, as well as challenges they face in this process:

UW-La Crosse – La Crosse provides a print brochure for DE students and faculty and emails DE faculty to inform them of services (difficult to determine/target DE students); the campus just hired a DE coordinator and created a new DE website, which may help in promotion efforts.
UW-Stout – Stout contacts all DE instructors and works with several on information literacy assignments; they participate in on-campus visits by DE students; Flash demos are provided on library website for students, and they’re working to create LibGuide pages specifically for DE; however, it is difficult to identify (and thus reach) hybrid courses on campus.
UW-Colleges – DE students and faculty are identified as attending a “13th campus”, which easily enables sending informational emails to all DE folks (couple times a semester); Colleges also provides online tutorials for distance use.
UW-Madison – Difficult to coordinate service to all DE programs, as several specialized libraries have their own DE experts/contacts; Heather hopes to make a more coordinated effort in marketing the services campus wide.
UW Oshkosh – Difficult to determine DE classes/instructors/students; Oshkosh identifies and contacts instructors in programs as they are discovered and tries to stay part of program orientation sessions (mostly in-person, on-campus or off-campus).
UW-Milwaukee – Again, difficult to identify DE classes/instructors/students, although some programs provide lists of students enrolled for the semester; Milwaukee is also involved in the orientation programs for several DE programs.

Since several members are interested in reworking their library DE services brochures (or creating one for the first time), it was suggested that all members of the committee share copies of their print or online brochures via the email list.

Next meeting: Tentatively scheduled for 11 am-12 noon on Monday, September 15. Heather will email the committee closer to the date to see if rescheduling is necessary (due to beginning of the semester schedules).

- Richard / Collections - problems w/ group lists... the reply goes to the whole group even when you are not doing a 'reply all'... replies should just go back to the sender only. - Marlys - conference call scheduled soon. Voyager upgrade seems to have gone well. Questions about general records and how long they stay on the server. LUNA conference discussion is on the agenda. Scheduling of face-to-face meeting in fall, to discuss goals for coming years. Resource Discovery Task Force discussion will take place during the face-to-face meeting.
- Steve - not much activity this summer - each working group is currently authoring a report, next meeting in September.
- Joshua - working on two reports... digital strategy document / fate of Minds@UW document... will be ready by the November CUWL meeting

I'm copying and pasting from Stout's upgrade plan here - please forgive any places I don't fix the copy and paste.

This group of the Hub, I've started calling the '2nd Hub' in order to shorten 'Whitewater, River Falls, Parkside, and Colleges'. If I say '2nd hub' or 'hub2', it's referring to the new shared instance that these four are using.

Think of this as my high level plan for the 2nd hub's upgrade. It's going to be slightly different from the other upgrades in some details, mainly because they're getting split into their own zone, rather than a shared one, or staying in the same zone they're using now.

Here are the high level steps for preparation

Create new enterprise storage for the second hub's zone (completed August 10th, 2008)
Create new hvoydb2 zone
1. Build zone to look like hvoydb (completed August 10th, 2008)
2. Copy enterprise storage mountpoints from previous day's backups (completed August 10th, 2008)
3. Modify firewall rules for garrison to allow 1521 traffic in to new zone's temporary IP address (completed August 10th, 2008)
4. Add users and groups, shared memory, /etc/system, /etc/services, /etc/inetd lines for the 2nd hub members, /etc/init.d scripts from hvoydb (completed August 10th, 2008)
5. Modify Oracle listener configuration (completed August 10th, 2008)
  1. Saved modified copy to home directory (completed August 10th, 2008)
6. Attempt to start up Oracle and troubleshoot as needed (completed August 10th, 2008)

New zone builds are complete. The hublib2 zone is up and running as the current live production webserver for these four, so it can't be reconfigured until after 2am when the upgrade starts and the readonly instance is up. The hvoydb2 zone has been tested with colleges using the ascii based opac at the command line and appears to work. All should be set for upgrade to start at 2am, with some IP address shuffling.

After the nightly hub backup is run normally, set the second hub schools to read-only mode - the current install will be the read-only OPAC used for the second hub's upgrade (this will be different from other upgrades in this cycle) (completed August 11th, 2008)

I have the web zone split into two - hublib is where the four being upgraded are, and hublib2 is where the 4 to be upgraded on Monday are. All connectivity verified for both. The four being upgraded are now in read only mode and up. Working on getting the upgrade zones configured with temporary IP addresses for all four sites, and bring them up for the upgrade.

All the steps are currently completed except for the actual switchover to go-live and the z3950 upgrade (which has to wait until the switch over, or z3950 would be broken all weekend).

After contacting everyone, am currently planning on going live Monday morning sometime after 7am and before 10am. It's too late in the day today to switch over.

Some client testing was reported to work - and Webvoyage looks good for all the sites at this time (I don't see any changes).

Prep work completed - I have the milvoydb/milvoyapp and millib zones up and running on widener. Keyword searches through webvoyage seem to be working and sorting properly (it took about 5-10 minutes for the keyword service to finish initial indexing). Only catches I ran into were zone configuration and filesystem link issues (/opt/zones was symlinked to /zoneroot, which milvoydb didn't like, /usr/local/bin/coraenv, oraenv, dbhome links didn't exist on widener, they do now, I had previously configured the zones to use the temp IP addresses).

Now I'm going to work on bringing up the milvoydb/milvoyapp on ambrosia again - with temporary IP address.

That's completed - There's something still trying to connect to the read-only database running on widener - but it's firewalled off now from allowing it to connect and still seems to be working, so I don't believe it matters.

Going to get the upgrade stuff into place now and get it kicked off. - 4:28am, 8/5/2008

As seen below - the regen is off and running. It's chewing up 1 CPU core on ambrosia at this point pretty steadily, so it's working along alright I think. - 6:29am, 8/5/2008

Now at the point where Webvoyage seems to be working with the newly upraded zones - have to hack millib.wisconsin.edu to the temp address in the hosts file to test it out. Ready for client testing first thing in the morning.

Point client at hubtmp.doit.wisc.edu (same port numbers as old) and test out the clients.

Here are the high level steps for the actual upgrade - starting at 2am, Monday July 21st

After the nightly hub backup is run normally, do the detach, attach, rsync notes above for all storage for milvoydb and millib putting them onto widener (completed August 5th, 2008)
Bring up milvoydb and millib zones on widener (completed August 5th, 2008)
Set the milvoydb zone instance to read only (completed August 5th, 2008)

Read only mode notes
Comment out cron jobs in milvoydb and millib on widener (completed August 5th, 2008)

Setup milvoydb and millib zones on ambrosia and alexandria with temp IP addresses (completed August5th, 2008)
Modify files as needed on upgrade zones - milvoydb on ambrosia and millib on alexandria (see prep steps)
Boot zones on milvoydb and milib on ambrosia/alexandria (completed August 5th, 2008)
Start everything up in upgrade zones and troubleshoot as needed (completed August 5th, 2008)
In the milvoydb zone on ambrosia kick off the voy654 patch (milwaukeedb, rescatdb) - (completed August 5th, 2008)
In the milvoydb zone on ambrosia run the run_as_root.ksh script provided (completed August 5th, 2008)
In the new milvoydb zone fix anything the run_as_root.ksh script breaks (completed August 5th, 2008)

Had to manually install their service methods into global zone's /lib/svc/method directory and fix ownership/permission (completed August 5th, 2008)
Had to manually clear listener service - svcadm clearELGolisten (completed August 5th, 2008)

In the upgrade milvoydb zone run index regen (their directions) (completed 11:27am, August 5th 2008)

It's sitting at the 'Performing Indexgen' step. Guessing it will be there quite a while.
Going to query Exlibris if it's safe to kick of RescatDB index regen at the same time or not.

In the upgrade millib zone kick off the voy654 patch (completed 11pm, August 5th, 2008)

Had to run it 3 times before it was successful. - true again

In the upgrade millib zone run the run_as_root.ksh script (completed 11pm, August 5th, 2008)

Did not enable the web service because we're using a separate apache for SSL

In the z3950 zone kick off the voy654 patch (completed August 6th, 2008)

In the z3950 zone fix anything the run_as_root.ksh scripts breaks(completed August 6th, 2008)
Contact UW Milwaukee (ready for this at 11:36pm, August 5th, 2008)

Have them point staff clients at hubtmp address for the upgraded milvoydb zone and test(completed August 6th, 2008)
Switch live IP address to the upgraded milvoydb zone(completed August 6th, 2008)
Switch live IP address over to new upgraded millib zone (completed August 6th, 2008)
Modify Oracle listener and tnsnames configuration files above and restart if needed(completed August 6th, 2008)
Have them walk me through testing the new Webvoyage zone(completed August 6th, 2008)
In the z3950 zone update the keyword files from the milvoydb zone(completed August 6th, 2008)

Verify everything is working, all cron jobs running, and backups configured (everything but backups completed)
Verify backups run that night as planned, troubleshoot as necessary (in progress as of August 7th, 2008)
