CUWL Coordinating Committee Chairs and Representatives Conference Call
March 10, 2008


Present: Ewa Barczyk, Marlys Brunsting, Steve Frye, Jean Gilbertson, Leanne Hansen, Joshua Ranger, Richard Reeb

Absent: Lisa Jewell, Valerie Malzacher, Pat Wilkinson


The conference site has a cafeteria with several food stations. We will direct conference attendees there for lunch. Coffee and rolls will be provided by UWS.

Our budget for Susan Gibbons is approximately $1000.

Valerie talked to Rebecca Martin about speaking at another conference and said that Rebecca could only be expected to speak for about 20 minutes due to her busy schedule and the time it would take to prepare a presentation. We could ask her to talk about the direction of UWS, highlight the DIN and perhaps finish by relating how individual librarians can help further System goals. Jean will contact her to see if she is available on June 4 (or, alternatively, June 3).

The Resource Discovery plenary session will be lengthened and begin after Rebecca Martin.

One breakout session and one roundtable session were dropped from Wednesday in order to wrap up by 3:00.

We might want to name this conference, “One System, One Library.”

We will ask Susan Gibbons to give a plenary session on Understanding Students and Faculty and then ask her to stay for a breakout session immediately afterwards. Her breakout session will be a continuation of the same topic, with more opportunities for questions. Jean will contact Lisa about drawing up a contract and then Marlys will contact Susan.

Discussion ensued about the number of staff we could accommodate from each campus. The auditorium will hold up to 170 people and the breakout rooms can seat 30 each. We probably won’t reach capacity because not all librarians will attend both days. Jean will talk to Lisa about handling registration.

The chairs will meet on Friday to slot the breakout sessions and roundtables into the schedule.

Currently the schedule looks like this:

    - 9:35-11: Plenary Session #1: Understanding Students & Faculty (Susan Gibbons) - Institutional Repositories, Integration w/ CMS
    - 11:10-12: Breakout Session #1
    - 12-1pm: Lunch
    - 1-1:50: Breakout Session #2
    - 2-2:50: Roundtable Session #1
